Terms and Conditions

These Terms and Conditions (“Terms”) apply to all training, classes, workshops, seminars and events provided by Artemis (“we”, “us”, “our”). By booking, paying for, attending, or participating in any session, the client (“you”, “your”) confirms they have read, understood, and agree to these Terms.

1. Health, Medical Conditions & PAR-Q

1.1 You confirm that all information provided on the PAR-Q / health screening form is true, accurate, and complete.
1.2 You agree to inform us immediately of any change in your medical condition, injury, medication, pregnancy, or any other health-related issue that may affect your ability to train safely.
1.3 We reserve the right to refuse or postpone training if, in our reasonable opinion, participation may place you or others at risk.
1.4 We may require written medical clearance from a GP/consultant before you participate in training. If medical clearance is required, training will not commence until it is provided.

2. Assumption of Risk

2.1 You understand and accept that self-defence training and physical exercise involve inherent risks including, but not limited to, sprains, strains, bruising, fractures, concussion, and other injury.
2.2 You voluntarily accept full responsibility for your participation and agree to train within your own limits, always following instructor guidance.

3. Fees, Deposits & Payment

3.1 A 50% non-refundable deposit is required to secure a booking for any workshop, seminar or event, unless agreed otherwise in writing.
3.2 The remaining balance must be paid no later than 7 days after the event 

4. Cancellations, Late Cancellations & No-Shows

4.1 If you cancel with 14 days’ notice or more, your deposit will be returned .
4.2 If you cancel with less than 14 days’ notice, the deposit will be retained and you may be charged up to 100% of the booking fee, depending on costs or you will be given the opportunity to rebook a workshop within 3 months
4.3 Failure to attend (“no-show”) will be treated as a late cancellation and no refund will be provided.
4.4 We may cancel or reschedule a session due to instructor illness, venue issues, or circumstances outside our control. In such cases, we will offer a rescheduled date or a refund of any fees paid for the cancelled session (excluding any third-party costs already incurred).

5. Hygiene & Personal Presentation

5.1 You agree to maintain an appropriate standard of personal hygiene to ensure a safe and respectful training environment.
5.2 All training clothing must be clean and free from strong odour.
5.3 Fingernails and toenails must be kept short. Jewellery must not be worn unless permitted by the instructor for safety reasons.

6. Equipment

6.1 Any equipment loaned or provided by us remains our property and must be returned in good condition. We reserve the right to charge for loss or damage caused by misuse or negligence.

7. Behaviour, Discipline & Removal from Training

7.1 You agree to behave respectfully towards instructors, staff and other clients at all times.
7.2 We reserve the right to refuse entry, remove a participant from training, or terminate the event without refund where a participant’s conduct is, in our reasonable opinion:

  • unsafe, aggressive, threatening, abusive, discriminatory or disruptive;

  • persistently disobedient or unwilling to follow safety instructions; or

  • detrimental to the learning environment or wellbeing of others.

  • 7.3 For junior participants, where behaviour cannot be safely managed, we will contact a parent/guardian and the student may be dismissed from training.

8. Safeguarding & Contacting Parents/Guardians (Children)

8.1 For children’s workshops, a parent/guardian must provide an up-to-date emergency contact number.
8.2 Where it is necessary to contact a parent/guardian, we may use the contact details provided.
8.3 We recommend parents/guardians remain reachable during training sessions.

9. Personal Property

9.1 Personal belongings are brought to training at your own risk. We are not responsible for loss, theft or damage to personal property unless caused by our negligence.
9.2 You are strongly advised not to bring valuables to sessions.

10. Abuse, Threats & Zero Tolerance

10.1 We operate a zero-tolerance policy for verbal abuse, intimidation, harassment, or physical threats towards staff, instructors, students or guests.
10.2 Where appropriate, we reserve the right to report incidents to the police and/or relevant authorities.
10.3 Serious breaches may result in immediate and permanent removal from training and cancellation of the workshop

11. Limitation of Liability

11.1 Nothing in these Terms excludes or limits liability for:

  • death or personal injury caused by our negligence;

  • fraud or fraudulent misrepresentation; or

  • any liability which cannot be excluded or limited under applicable law.

  • 12.2 Subject to clause 12.1, we shall not be liable for any indirect or consequential loss, including loss of earnings or loss of opportunity.
    12.3 Subject to clause 12.1, our total liability to you for any claim arising in connection with training shall be limited to the amount you paid to us for the session(s) giving rise to the claim.

12. Photography & Video (Optional)

12.1 Photos or videos may be taken for coaching feedback or marketing purposes.
12.2 You may opt out at any time by notifying us in writing.
12.3 Photos/videos of children will not be used publicly without parent/guardian consent.

13. Data Protection

13.1 We process personal data in accordance with UK data protection laws.
13.2 Personal data will only be used for training administration, safety, safeguarding, and communication purposes.
